Chemical compliance checking and harvest review are available to selected accounts. If you don't see these features, contact your FarmQA representative.
Open the Fields list. Filter by Status: Submitted to see all fields waiting for your review. You can also group fields by grower or variety to work through your queue in logical batches.
Approve a field
- Open a submitted field.
- Select Approve.
- Optionally add a note, then select Confirm.
The field's status changes to Approved. Records are locked for both you and the grower. The field appears as harvest-ready in the harvest readiness view.
Note: You can't approve a field that has a non-compliant compliance result, or a field where no compliance check has been run. The approval action is blocked in both cases, with a message explaining why. If you believe the compliance issue doesn't apply — for example, it reflects a data entry error or an issue already resolved — contact your enterprise admin to approve using the compliance override.
Return a field to the grower
Return a field when you've found something that needs to be corrected — missing records, a data error, or a compliance concern.
- Open the submitted field.
- Select Return to grower.
- Enter a reason in the Note field. A reason is required.
- Select Confirm.
The grower's records are unlocked. They'll be able to see your note, correct the issue, and resubmit the field.
If the field was returned with unresolved compliance violations, it can't be re-approved without a passing compliance check. The grower will need to resolve the issue and run a new check before you can approve.
Mark a field as not harvestable
Use this action when a field won't be purchased — typically because of a chemical compliance violation that can't be resolved.
- Open the submitted field.
- Select Rejected.
- Enter a reason in the Note field. A reason is required.
- Select Confirm.
The field's status changes to Rejected. Records are locked for both you and the grower. Enterprise admins can reopen a rejected field if needed.
Process multiple fields at once
- In the Fields list, select the checkboxes for the fields you want to act on.
- Select Approve, Return to grower, or Rejected from the bulk action menu.
- Enter a note if required (required for returns and rejections; applies to all fields in the batch).
- Select Confirm.
Enterprise admin: approve a non-compliant field
Enterprise admins can approve a submitted field that has a non-compliant compliance check result when they've determined the issue isn't a barrier to harvest — for example, a data entry error, a misclassified exempt product, or a variance already handled outside the system.
- Open the submitted non-compliant field.
- Select Approve.
- Enter a reason in the Override note field. A note is required.
- Select Confirm.
The field moves to Approved status. The compliance check result remains visible on the field and is not cleared — the override records that you made a deliberate decision to approve despite it. Your name and the override note are recorded in the field's activity log.
Flag a field for attention
At any point during the season — not just at harvest — you can flag a field to signal that it needs attention. This is a lightweight check-in, not a formal sign-off action.
- Open the field.
- Select Flag for attention.
- Add a note explaining what needs to be addressed.
- Select Save.
The grower sees the flag and your note.
Adding records to a submitted field
Once a grower submits a field, you can't add new application records or other events to that field until it's returned to the grower or approved. Read access remains — you can view all existing records. If you need to add a record, return the field to the grower so they can make the addition and resubmit.
Enterprise admins are not subject to this restriction.
