Tasks require the Tasks add-on and a Workflow license. See Setting up a user with a Workflow license.
The Work list is where you keep your team's tasks current. Find the work that's open, see it grouped the way you plan, move it to the right person, close out tasks that won't get done, and export a record of it all. This article covers everything you do with tasks after you create them.

Soil sampler and Operator work only with their own tasks: ones assigned to them, created by them, or completed by them. Everyone else with access sees every task in the organizations they can see.

Find and group tasks
- Open Tasks and go to the Work list.
- Use the view menu in the upper right to choose Current tasks, Completed tasks, or All data.
- Use Group by to organize the list by Priority, Creator, Assigned to, or Type. Choose None to go back to a flat list.
Assign or reassign a task
- Check the box next to each task.
- Select Assign.
- Choose the person. Only people with a Workflow license and permission for that task type appear.
- To leave a note, turn on Include note, then choose how it's added in Notes: Add to end of existing note, Add to start of existing note, or Replace existing note.
- Select Assign.
To move work between people or days by dragging, use Using the daily task view.
Close out a task that won't be done
When a task won't be finished, close it without marking it complete.
- Check the box next to each task.
- Select one:
- Mark as abandoned — The work won't happen. Select Abandon to confirm.
- Mark as duplicate — Another task already covers this work. Select Close to confirm.
Reactivate a task
To bring a completed, abandoned, or duplicate task back onto the current list:
- Switch the view to Completed tasks or All data.
- Check the box next to each task.
- Select Reactivate.
Delete a task
Deleting removes the task entirely. To keep a record that the work was dropped, mark it as abandoned instead.
- Check the box next to each task.
- Select Delete, then confirm.
Export tasks to Excel
- Choose the view you want to export: Current tasks, Completed tasks, or All data.
- Check the box next to each task you want in the file.
- Select Excel.
